1. Scope and our roles
This Privacy Policy explains how Okike Labs, operating the Linkvoy product ("Okike Labs," "Linkvoy," "we," "us," or "our"), handles personal information when you visit linkvoy.com, use the Linkvoy application, interact with a Linkvoy client portal or inquiry form, or communicate with us. Together, these are the "Services."
Linkvoy is a business operations service for professional wedding planning businesses. When we collect information to manage accounts, operate our website, administer subscriptions, secure the Services, or provide support, Okike Labs acts as the business or controller responsible for that processing.
Linkvoy customers may add information about their prospects, clients, guests, vendors, contractors, team members, and other contacts to their workspaces ("Customer Content"). For that information, the customer normally decides why and how it is processed, and Okike Labs processes it on the customer's behalf. If your information was added to Linkvoy by a wedding planning business, that business is usually the best first contact for questions or rights requests about that information.
2. Information we collect
Information you provide directly
- Account and profile information: name, email address, telephone number, password or authentication details, profile image, role, business name, business address, time zone, and workspace preferences.
- Customer Content: inquiries, lead and client records, contact details, event information, guest lists, vendor details, tasks, timelines, budgets, notes, questionnaires, proposals, contract records, invoice and payment records, comments, communication history, templates, and files you choose to upload.
- Billing information: subscription plan, billing status, transaction references, and related records. Payment-card and bank details are collected and processed by our billing provider rather than stored directly by Linkvoy.
- Communications: support requests, feedback, survey responses, and other messages you send to us.
Information collected automatically
When you use the Services, we may collect device and usage information such as your IP address, browser type, operating system, device identifiers, referring pages, pages or features used, timestamps, session activity, approximate location derived from IP address, diagnostic information, and security events.
Information from other people and services
We may receive information from your workspace owner or other authorized users, from people who submit a Linkvoy inquiry form or use a client portal, and from service providers that support authentication, billing, email delivery, hosting, storage, analytics, fraud prevention, or customer support. If you connect a third-party service to Linkvoy, we may receive the information you authorize that service to provide.
Linkvoy does not require customers to upload special-category or highly sensitive information such as health records, government identification numbers, financial-account credentials, or full payment-card details. Customers should avoid adding that information unless it is necessary, lawful, and expressly supported by the Services.
3. How we use personal information
We use personal information to:
- provide, maintain, personalize, and improve the Services;
- create accounts, authenticate users, manage permissions, and administer workspaces;
- process subscriptions, maintain billing records, and communicate about plans or transactions;
- deliver emails, notifications, client portals, inquiry forms, and other requested features;
- respond to questions, provide support, and communicate service-related information;
- monitor performance, understand feature usage, and improve usability;
- detect, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms of Service;
- comply with legal obligations, enforce agreements, and protect the rights, safety, and property of Linkvoy, our customers, users, and others; and
- send product news or marketing communications where permitted by law. You may unsubscribe from marketing messages at any time.
Where data-protection law requires a legal basis, we process information as necessary to perform a contract, comply with law, protect vital interests, pursue legitimate interests that are not overridden by your rights, or with your consent. Our legitimate interests include operating and securing the Services, supporting customers, improving the product, and communicating with people who use or ask about Linkvoy.
6. International data transfers
Linkvoy is offered globally. We and our service providers may process information in countries other than the country where it was collected. Those countries may have different data-protection laws. Where required, we use recognized safeguards for international transfers, such as contractual protections, adequacy decisions, or another lawful transfer mechanism.
7. Data retention
We retain personal information for as long as reasonably necessary to provide the Services, maintain an active account or workspace, fulfill the purposes described in this policy, resolve disputes, enforce agreements, and meet legal, tax, accounting, security, and compliance obligations.
Retention periods depend on the nature of the information and why it is processed. When an account is closed, we delete or de-identify information when it is no longer required, subject to reasonable backup cycles, fraud-prevention needs, legal holds, and records we must retain by law. Workspace owners are responsible for establishing appropriate retention practices for Customer Content they control.
8. Security
We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. These safeguards include access controls, tenant-aware permissions, protected authentication, private file-access controls, monitoring, and secure service-provider configurations where appropriate.
No online service can guarantee absolute security. You are responsible for using strong authentication, protecting account credentials and access links, maintaining accurate permissions, and promptly notifying us if you suspect unauthorized access.
9. Your rights and choices
Depending on where you live and subject to applicable exceptions, you may have the right to request access to, correction of, deletion of, restriction of, or portability of your personal information. You may also have the right to object to certain processing, withdraw consent, opt out of certain disclosures, and complain to a data-protection authority. We will not discriminate against you for exercising an applicable privacy right.
You can update certain account information through the Services. To make another request about information controlled by Okike Labs, email [email protected]. We may need to verify your identity and authority before completing a request.
If your information appears in a Linkvoy workspace operated by a wedding planning business, contact that business first. We will assist the customer with a valid request as required by applicable law and our contractual obligations.
Residents of California may have rights to know, access, correct, or delete personal information; to opt out of sale or sharing; to limit certain uses of sensitive personal information; and to receive equal service when exercising those rights. Linkvoy does not sell personal information or share it for cross-context behavioral advertising as those terms are generally understood under California law.
10. Children
The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information directly to us, contact us so we can investigate and take appropriate action.
11. Changes to this policy
We may update this Privacy Policy to reflect changes to the Services, our practices, or legal requirements. We will post the updated policy here and revise the effective date. If a change materially affects how we use personal information, we will provide additional notice when required by law.
